Event Booking — Terms & Conditions
1.Overview
These terms apply to all events organised and hosted by Arcane Forge, operated by The Forge V.O.F. By purchasing a ticket or registering for an event, you agree to these terms in full.
Arcane Forge hosts three types of events:

| Tournament | Competitive wargaming event with fixed rules, rounds, and scoring. Players bring their own army. |
| Demo | Introduction or demonstration session for new or prospective players. Typically free or low cost. |
| Painting Workshop | Guided hobby session focused on painting techniques. Materials may or may not be included; stated per event. |
All events are open to everyone — no age restriction applies. Specific event details including format, price, date, location, and any special requirements are published per event in store and online.
2.Tickets & Registration
2.1 How to Register
Tickets and registrations can be made:
- In store at the Arcane Forge counter
- Online via our website or booking system (when available)
- Via BCP (Best Coast Pairings) for competitive tournaments where stated
Your place at an event is only confirmed upon full payment of the ticket fee (where applicable). Registration without payment does not reserve a place.
2.2 Ticket Fees
- Ticket prices are stated per event and are inclusive of Dutch BTW (VAT).
- Some events (such as demos or introductory sessions) may be free to attend. Free events may still require prior registration to manage capacity.
- Active Arcane Forge members receive priority access to ticket sales.
2.3 Capacity
- All events have a fixed maximum capacity. Places are allocated on a first-come, first-served basis, with members' priority window applied where applicable.
- Arcane Forge reserves the right to cap, expand, or split event capacity at its discretion.
3.Cancellations & Refunds
3.1 Cancellation by the Attendee
- Cancellations made 7 or more days before the event date will receive a full refund to the original payment method, processed within 5 business days.
- Cancellations made fewer than 7 days before the event are non-refundable.
- To cancel, notify Arcane Forge in store, by email, or via the members' chat.
- Tickets are personal and non-transferable unless Arcane Forge expressly permits a name change in writing.
3.2 Cancellation or Changes by Arcane Forge
- If Arcane Forge cancels an event for any reason, all ticket holders will receive a full refund within 5 business days.
- If an event is rescheduled, ticket holders will be notified promptly and offered the choice of retaining their ticket for the new date or receiving a full refund.
- If an event is significantly changed in format, duration, or content, affected ticket holders will be notified and given the option to cancel for a full refund.
- Arcane Forge accepts no liability for travel costs, accommodation, or other expenses incurred by attendees in connection with a cancelled or rescheduled event.
4.Tournaments
4.1 Army Lists & Compliance
- Tournament army lists must be submitted by the deadline stated in the event pack. Lists submitted after the deadline may be penalised or rejected at the TO's (Tournament Organiser's) discretion.
- All armies must comply with the rules, points limit, and any additional restrictions specified in the event pack.
- Arcane Forge and the TO reserve the right to review and query any army list. Players found to have submitted an illegal list may be required to amend it or withdraw from the event without a refund.
4.2 Conduct & Sportsmanship
- All players are expected to conduct themselves with good sportsmanship throughout the event: treat your opponent with respect, play with honesty, and accept results gracefully.
- Slow play, deliberate stalling, or unsportsmanlike behaviour may result in a penalty, game loss, or disqualification at the TO's discretion.
- The TO's ruling on any in-game dispute is final during the event. Players may raise concerns after the event via the feedback process.
- Players who are disqualified for conduct reasons are not entitled to a refund.
4.3 Prizes & Results
- Prize support (where offered) is stated in the event pack. Arcane Forge reserves the right to substitute prizes of equivalent or greater value if the original prize becomes unavailable.
- Results are final once confirmed by the TO. Score queries must be raised before results are announced.
- Where BCP is used, results and rankings will be recorded on the platform in accordance with BCP's own terms of service.
4.4 Clocks
- Chess clocks are available upon request for timed competitive games. Requests should be made at the start of the round.
- Time limits per round will be stated in the event pack. The TO may adjust round times at their discretion.
5.Demo Events
- Demo events are designed for new or prospective players and are typically free or low cost.
- Arcane Forge will provide demonstration miniatures, terrain, dice, and rules guidance for the session. Participants do not need to bring their own models.
- Demo events are informal and run at a relaxed pace. Staff or volunteers will guide participants through the rules.
- Arcane Forge makes no guarantee that demo models are painted to any specific standard, though we aim to use the best available store collection.
- Products and games featured in demo events may be available for purchase in store on the day.
6.Painting Workshops
6.1 Materials
- Each event listing will clearly state whether paints, brushes, and a model to paint are included in the ticket price or must be brought by the attendee.
- Where materials are included, Arcane Forge will provide a suitable starter model, a basic set of paints, and brushes. These remain the property of Arcane Forge unless otherwise stated.
- Attendees are welcome to bring their own paints, brushes, and models if they prefer.
6.2 Format
- Workshops are led by an Arcane Forge staff member or invited guest artist. The technique and style covered will be stated in the event listing.
- Workshop content is planned in advance. Arcane Forge cannot guarantee that every attendee's specific technique or model type will be covered within the session.
- Results will vary between participants. Arcane Forge makes no guarantee of painting outcome and accepts no responsibility for models damaged during a workshop session by the attendee.
7.General Conduct
All events at Arcane Forge are inclusive spaces. Discrimination, harassment, or aggressive behaviour of any kind will not be tolerated, regardless of the event type.
- Arcane Forge staff and event organisers reserve the right to remove any attendee from an event for disruptive, aggressive, or inappropriate behaviour. No refund will be issued in such cases.
- All attendees must comply with the Arcane Forge house rules, displayed in store and available on request.
- Arcane Forge reserves the right to ban repeat offenders from future events.
- Attendees are responsible for their own personal belongings during events. Arcane Forge accepts no liability for loss or damage to personal property, including miniatures, while on the premises.
8.Photography & Media
Arcane Forge may take photographs and video footage at events for use on our social media channels, website, and marketing materials.
- By attending an event, you consent to being photographed or filmed as part of general event coverage.
- If you do not wish to appear in any published photos or videos, please notify a member of staff at the start of the event. We will make reasonable efforts to accommodate your request.
- Arcane Forge will not publish identifiable images of minors without the explicit written consent of a parent or guardian.
- Attendees are welcome to take their own photos during events for personal use. Photography that is disruptive to other attendees or to ongoing games is not permitted.
9.Liability
- Arcane Forge takes reasonable precautions to ensure the safety and smooth running of all events. However, we cannot guarantee that events will be uninterrupted or error-free.
- Arcane Forge accepts no liability for personal injury sustained at an event unless caused by our own negligence.
- The maximum liability of Arcane Forge / The Forge V.O.F. to any attendee in connection with an event is limited to the ticket price paid for that event.
- Nothing in these terms limits liability for death or personal injury caused by negligence, or any liability that cannot be excluded by Dutch law.
10.Amendments
The Forge V.O.F. reserves the right to amend these Event Booking Terms & Conditions at any time. The current version will be displayed in store and on our website. Continued participation in Arcane Forge events constitutes acceptance of the current terms.
11.Governing Law
These terms are governed by the laws of the Netherlands. Any disputes will be handled in accordance with applicable Dutch consumer legislation, with the courts of Amsterdam having jurisdiction.
