Table Booking — Terms & Conditions

1.Overview

These terms apply to all gaming table bookings at Arcane Forge, operated by The Forge V.O.F. By booking or using a gaming table, you agree to these terms in full. These terms apply to all visitors — members and non-members alike.

Arcane Forge offers two types of gaming tables for hire:

2.1 How to Book

Tables can be booked:

• Online via our booking system at arcaneforge.nl
• In store at the Arcane Forge counter

A booking is only confirmed upon full payment of the session fee (where applicable). Walk-in availability cannot be guaranteed — advance booking is strongly recommended, especially at weekends and during busy periods.

2.2 Session Duration

• A standard session covers a fixed time slot as stated at the time of booking.
• Session length is determined by the booking slot selected. Players must vacate the table promptly at the end of their session if another booking follows.
• Arcane Forge will provide reasonable advance notice — typically 15 minutes — before the end of a session when another booking is scheduled.
• Extensions may be available subject to availability. Please speak to a member of staff to request an extension before your session ends.

2.3 Capacity

• The number of available tables is fixed. Arcane Forge reserves the right to manage table allocation at its discretion during busy periods or events.
• During scheduled events and tournaments, some or all tables may be reserved for event use. This will be communicated in advance via our website and social media channels.

3.Payment

• All prices are stated inclusive of Dutch BTW (VAT) at the applicable rate.
• Payment is due at the time of booking or upon arrival, as applicable to the booking method used.
• Payment can be made by debit card, credit card, or online via our website. Cash is not accepted.
• Active members are not charged for table sessions. Membership status will be verified at the counter.

4.Cancellations & Refunds

• Cancellations made 24 or more hours before the booked session will receive a full refund, processed within 5 business days to the original payment method.
• Cancellations made fewer than 24 hours before the session are non-refundable.
• To cancel a booking, notify Arcane Forge via our website, in store, or via the members' community chat.
• If Arcane Forge cancels a booking for any reason (for example, due to a scheduled event or unforeseen closure), a full refund will be issued within 5 business days.
• Arcane Forge accepts no liability for travel costs or other expenses incurred in connection with a cancelled booking.

5.Use of Tables

5.1 General Use

• Tables are provided for tabletop gaming use only.
• All terrain, tokens, accessories, and any borrowed materials must be returned to their original positions at the end of each session. Leave the table as you found it.
• Dice must be rolled on the table surface or on a dice tray. Dice that leave the table and impact other players' models or belongings are the responsibility of the player who rolled them.
• Food and drinks must be kept well away from terrain, models, and the table surface. See Section 7 for food and drink rules.

5.2 Army Borrowing

• Active members may borrow a full army from the Arcane Forge in-store collection for use during their session, subject to availability.
• Army borrowing must be requested at the time of booking where possible. On-the-day requests cannot be guaranteed.
• Borrowed armies must be returned in full and in the same condition as received at the end of the session.
• Any damage to borrowed armies must be reported to staff immediately. Arcane Forge reserves the right to charge for the cost of repairs or replacement where damage is caused by negligence.
• Army borrowing is available to active members only and is offered at Arcane Forge's sole discretion.

5.3 Rules Assistance

• Staff are happy to assist with rules queries during your session. Any rulings offered by Arcane Forge staff are provided in good faith but are not official GW rulings.
• Chess clocks are available on request. Please ask at the counter at the start of your session.

6.Personal Belongings & Liability

• Arcane Forge accepts no liability for loss of or damage to personal property — including miniatures, hobby materials, or other belongings — while on the premises, except where such loss or damage is caused by our own negligence.
• Never touch another player's miniatures without asking permission first.
• If something is accidentally broken during your session, please inform a member of staff immediately. Accidents happen — we would rather know.
• Arcane Forge is not responsible for personal property left unattended on the premises. Please keep valuables with you at all times.

7.Food & Drinks

• Only water brought from outside is permitted at the gaming tables. All other food and drinks must be purchased at the Arcane Forge counter.
• Food and drinks must be kept well away from open paint pots, terrain, and other players' miniatures at all times.
• Players are responsible for cleaning up any spills promptly. Bins are available throughout the store.
• Active members receive a 10% discount on all food and drink purchases at the counter.

8.Conduct

Gaming tables are shared spaces used by players of all ages and experience levels. We expect all players to conduct themselves with respect and sportsmanship at all times.

• Treat fellow players, Arcane Forge staff, and other store visitors with respect.
• Deliberate slow play or unsportsmanlike behaviour is not acceptable.
• If a conduct issue arises during your session, please speak to a member of staff. We would rather resolve it early than let it escalate.
• Arcane Forge staff reserve the right to ask any player to vacate a table for conduct that is disruptive, unsafe, or incompatible with the experience of other players. No refund will be issued in such cases.
• All Arcane Forge house rules apply during table sessions. The house rules are displayed in store and available on our website.

9.Amendments

The Forge V.O.F. reserves the right to amend these Table Booking Terms & Conditions at any time. The current version is displayed in store and on our website. Continued use of the gaming tables constitutes acceptance of the current terms.

10.Governing Law

These terms are governed by the laws of the Netherlands. Any disputes will be handled in accordance with applicable Dutch consumer legislation, with the courts of Amsterdam having jurisdiction.
